When to Plan Holiday Client Gifts (and Why September Isn’t Early)

Every year, someone calls us with a fantastic gifting idea. There is just one problem. They need 800 of them. Next Tuesday.

Sometimes we can pull off miracles. But gifting gets much easier when there is a little runway, and the difference between a stressful December and an effortless one is almost entirely about the calendar.

Why early planning actually matters

More product options. Custom chocolate and branded food gifts are made to order. Popular items sell out and custom production queues fill up weeks before Thanksgiving. Starting in September or early October means the full catalog is open to you, not just whatever is left.

More customization options. Custom molds, printed wrappers, engraved pieces, and personalized packaging all have setup time. Rush jobs limit you to simpler options exactly when you wanted the special ones.

Time to gather addresses. If you have ever tried to collect 300 correct mailing addresses in December, you know this is its own project. Starting early turns it from a scramble into a quiet Tuesday task.

Delivery flexibility. Carriers are slammed from late November on. With runway, you can hit delivery windows comfortably instead of hoping, and you have time to fix the inevitable exceptions. (There is always at least one: the client who moved, the employee who works from home but listed the office.)

A simple timeline that works

September: decide budget per recipient and who is on the list. October: choose the gift and lock in customization. Early November: confirm addresses and place the order. Mid-to-late November: gifts land, before the holiday noise peaks. December: you answer thank-you emails instead of tracking numbers.

You do not need everything figured out early. You just need to start the conversation. “We need something for 300 customers around $75 each” is enough for us to take it from there.
